Hey all,

first off, thanks for replying so quickly to the request for
information i sent out previously regarding the barbecue we're
having. for anyone who doesn't know what i'm talking about, the
original email about this is pasted at the bottom of this email. i
apologize for throwing so much at you and asking for such a quick
turnaround; the key planners of this event have all realized that we
need to push back the SGFC request by one week in order to solidify
all details.

we had a meeting last night, and here's an update:

DATE: now MAY 16, the Friday night when Summer Breeze starts (don't
worry you won't miss any of Summer Breeze)

TIME: 5-9pm (movie on the quads starts at 9pm)

LOCATION: Bartlett Quads, rain location Hutch Commons


now, as for info that's needed from you all, we have some updates
too. we're going to have to limit each group to $250 maximum for up
to two dishes (your call if you just want to do one), and we need to
know the following. even if you've provided me with some of this
info before, please give me all of it again. all you have to do is
reply to me and answer each one of these questions and we'll have all
the info we need!

1. what are your dish(es) (with a brief description for the ignorant ;) )

2. do you need a grill to cook either of them

3. where are you getting them from, or if you're making them, what
ingredients are involved

4. unit price for each of the dish(es) or ingredients

5. number of units


cool? if you could get that info to me by Tuesday at 3pm at the
absolute latest, it would be great. thank you!!

i'll tell jay that we aren't doing anything performance wise, but for your reference.
speaking of which, we need to get the cooking materials asap.

Now that the finances are taken care of (you should be getting an email about your food allocation if you haven't gotten one yet), let's talk programming.

Everyone is welcome to use a time slot for whatever they want -- perform a cultural dance, an act from their cultural show, read poetry, speak, or even better yet, something interactive like teaching a dance from their cultural background or something else interactive. The benefits to doing something interactive are that there would be more of a community vibe going, and it would be less stress on you guys to coordinate an all-out performance. You can of course collaborate with each other as RSOs on your "presentations."

The only limitations (aside from time limits) are that we cannot allocate funds for anyone's time slot, and the stage is 16'x24' and is about 2' off the ground.

So, please talk among your boards and reply to me as soon as you can with:

1. what you'd like to do including all details of what will be on stage
2. what time length you'd like (max 10 min non-interactive, 20 min interactive)
3. how long it would take to set up/tear down the stage
4. any time constraints (i.e. the person who can teach the dance must leave by 7:30pm, can't get there before 7pm, etc.)

We are planning on scheduling time slots approximately as follows:

5-6pm dinner, DJ and music only
6-7pm non-interactive performances (estimate 5-10 min. each)
7-9 interactive performances (estimate 20 min. each)

PLEASE GIVE ME AS MUCH INFORMATION AS YOU CAN BY MONDAY.

Hey Vince,

well the thing is, we only have one large grill, so having people
grill their own stuff, especially when you're talking hundreds of
people, might be a bad idea... possibly same thing with the onigiri,
but that depends on how difficult they are to make and how much time
it would take people.

imagine an IFF-like line of people moving by and getting food... can
you picture them making onigiri while walking by (a sincere question
as i'm not sure how long it will realistically take a first-timer)?
or maybe, did you picture people sitting down at a table with a
J-Club member who would teach them to make it? (which might work much
better)

or would it just be smarter overall to make them yourselves?
